Summary:
Responsible for the smooth and efficient operation of the elementary school and administrative office. Ensure that all of the following duties are completed in timely and competent manner, personally or by delegation.
Responsibilities:
-Perform financial duties for the school
-Manage the school’s ProCard program including authorized users, purchases, reconciling statements, preparing statements for archiving, responding to audit requests, reports and issues
-Coordinate the ordering, receiving and inventorying of supplies and materials
-Collect, count and deposit money for fundraisers, fees and other activities
-Coordinate CMAS and other assessments with assistance from school support staff
-Provide administrative support to Principal and administrators by assisting with managing and coordinating schedules, meetings, and events, composing and formatting correspondence, newsletters, handbooks, reports, other communication activities and website maintenance
-Assist with technology needs of the building
-Assist with the master schedule
-Synchronize year round building use and events calendar within the Facility Use system
-Building Security, monitor main entrance, greet authorized personnel and/or visitors following district policies and procedures
-Assist in the development, training and implementation of crisis plans, safety procedures including scheduling fire drills, emergency evacuations and building lockdowns
-Oversee the volunteer background check process
-Support positive behavior support process for students as well as the discipline process when necessary
-Provide backup support in principal’s absence
-Perform personnel management functions including monitoring of FTE allocations, recording weekly time and absences, coordination and creation of job requisitions, including extra duty contracts, and submitting related reports
-Monitor the substitute management system to ensure the complete staffing of the school
-Ensure confidentiality of all personnel data
-Assist with the scheduling of classified staff and building substitutes
-Ensure that the office operates in an effective and safe manner at all times
-Perform other duties as assigned
Qualifications:
Required:
-High School Diploma or equivalent
-Communicate (read, write, and speak) in English
-Completed and submitted BVSD online application
-Bilingual (English/Spanish) - must pass BVSD assessment
Preferred:
-Minimum of three years experience progressively responsible secretarial/clerical experience
-Specialized courses in business, vocational school, or community college
-Experience in working with elementary school students
-Knowledge of district policies and procedures
-Knowledge of office practices as well as functioning as an office manager
-Ability to make decisions in accordance with rules, regulations, policies, and procedures
-Intermediate to advanced computer knowledge and experience, including Microsoft Word, Excel and Google
-Strong interpersonal skills and ability to function under pressure in a pleasant and personable manner
-Ability to manage multiple priorities and tasks with frequent interruptions
-Positive communication, interaction and work experience with diverse individuals
